How we automated NIE applications

Fifty filings at once, and not one can slip

The NIE is the first step in almost everything the firm does. Without it there is no purchase, no bank account and no company. That makes it the highest-volume work in the office: around fifty applications a month, on top of renewals, family reunifications and appointments.

The law is rarely the hard part. The scale is. Fifty open files at once, each with its own document checklist, its appointment and its deadline, all moving in parallel. A firm holding that together with memory and spreadsheets does not fail through ignorance: it fails because a padrón certificate goes missing on a Tuesday.

What changed was not how the firm files. It was that it stopped filing from memory. Every application is a matter, and the matter is what remembers.

The document you need, on the day you need it

A NIE application fails on a piece of paper. The passport that expires before the decision arrives, the fee receipt nobody downloaded, the padrón certificate the client sent by WhatsApp that stayed on somebody's phone.

The document manager keeps all of it by client, with the outstanding items visible. Assisted extraction reads the uploaded file — passport number, expiry date, nationality — and puts those values on the matter without anyone retyping them. One mistyped digit on a form is a correction notice, and a correction notice is three weeks.

The point is not a tidier archive. It is that on filing day the document is there. There is no longer anywhere for it to go missing.

The matter counts the deadlines, not us

Immigration work is a calendar. The window to renew before a card expires. The ten working days to answer a correction notice. The appointment granted for five weeks out.

Those dates are not loose reminders: they are calculated from the date that triggers them and they live in the calendar beside the matter they belong to. When a correction notice arrives, the clock starts running where everyone can see it, not in the notebook of whoever opened the email.

And when a client asks when their appointment is — they almost always do — the answer is an exact date in ten seconds, not a promise to check.

Identity, verified on day one

An immigration practice works by definition with clients from everywhere, and identity verification cannot assume one kind of document or one country.

The compliance module captures KYC with sanctions screening built in and leaves the Ley 10/2010 file complete from the start, rather than reconstructed months later because somebody asked for it. In a process that begins with a foreign passport on the desk, that is the natural moment to do it.
