The file of an average firm lives spread across three email inboxes, two personal phones and the memory of whoever took the call. None of that is searchable, transferable or auditable.

Mandato collects the channels a client actually uses to talk to their lawyer, and puts them where they belong.

Works with
What's inside

Every channel, where it belongs.

  1. One inbox per matter

Gmail and Outlook synced; every email files itself on the matter it belongs to.

  2. WhatsApp Business

Send and receive from the matter, with the conversation stored where it should be.

  3. Calls and meetings

Log the call with its notes on the matter — 'they told me on the phone' starts existing in writing.

  4. Client portal

Clients see their matter's status and documents, and stop asking through three channels.

  5. Bilingual templates

The same communication in Spanish and English, without maintaining two sets of templates.

  6. Full traceability

Who said what, when, and through which channel — in the matter's history, with author and date.

The whole conversation, in its place

An illustrative estimate for a small firm with all three channels active.

Gmail and Outlook, in one inbox

Connect the firm's accounts — Google Workspace, Microsoft 365, or both — and Mandato shows the mail from all of them in a single inbox. Each message is linked to its matter by sender, by matter reference, or by hand in one click.

Replies are written in Mandato and sent from the address you have always used. Nothing changes for the client. What changes for the firm is that the conversation now sits on the matter rather than in somebody's private inbox.

WhatsApp Business, in both directions

International clients write on WhatsApp. Arguing with that gets you nowhere; ignoring it gets you less. Mandato connects the firm's WhatsApp Business number through 360dialog, an official WhatsApp Business API provider, and brings the conversation onto the matter.

Two-way: the client's messages come in and the firm's replies go out from Mandato, with the full history in view. No exported chats, no screenshots, and no partner lending out a phone because a colleague is on sick leave.

  • Number onboarded through 360dialog, an official API provider.
  • Inbound and outbound messages, both linked to the matter.
  • The history belongs to the firm, not to a lawyer's handset.

Calls and meetings, on the matter too

Not everything goes through a digital channel. A call settles in three minutes what an email would take a day, and a meeting produces agreements you would rather not trust to memory. The classic problem is that the conversation ends up on a sticky note or in the head of whoever had it.

In Mandato, a call or a meeting is logged as another entry on the matter, with its date, its author and what was agreed. So the matter's thread also holds what was never written down: who called, what was said and what was left pending.

  • Log a call or a meeting as a matter entry, next to email and WhatsApp.
  • Kept with date, author and content — not on a loose scrap of paper.
  • Logging is manual: Mandato does not record or transcribe calls.

The client portal

Every client gets an account where they see the state of their matter, the documents that concern them, what is being asked of them and what they have been invoiced. Nothing more: the portal shows exactly what the firm chooses to show.

And it shows it in the client's language. A German buyer and a Spanish seller see the same transaction, each in their own, without the firm maintaining two versions of anything.

  • Matter status, visible documents, outstanding document requests and invoices.
  • Internal notes, drafts and recorded hours are never visible.
  • Interface in Spanish or English, per client.

Bilingual templates

The firm's email templates — engagement acknowledgement, document request, deadline warning, request for money on account — exist in Spanish and in English, with the same merge fields. You pick the recipient's language and the rest fills itself from the matter.

When something has to be written that no template covers, assisted drafting starts from the matter's context rather than from a blank page.

Frequently asked questions

Do I need a new WhatsApp number?

In practice, yes. The WhatsApp Business API requires a dedicated number that is not in use on the WhatsApp app or on WhatsApp Business for mobile. Firms usually onboard their landline or a new line. 360dialog handles the onboarding and Mandato walks you through it.

Does Mandato read all the mail in my accounts?

Only what you authorise when you connect the account, and only to display it, link it to matters and let you search it. You can connect just some of the firm's accounts, and the connection can be revoked at any time from Google or Microsoft without going through us.

What exactly does the client see in the portal?

What the firm publishes: the state of the matter, documents marked as visible, outstanding document requests, and their invoices. Internal notes, drafts, recorded hours and correspondence with third parties are never visible to the client.

Are conversations kept if a lawyer leaves the firm?

Yes. Conversations belong to the matter, not to the account of whoever held them. When a user is deactivated, their emails and messages linked to matters remain accessible to the firm, with authorship intact.
