A vault per client
Every client has a document space, and every matter has its own. Documents are tagged by type — passport, deed, nota simple, power of attorney, contract — and that tag is what makes them findable afterwards: by type, by client, by matter, by date, or by the text inside the document.
Permissions are per document. What the client sees in their portal is what the firm marks visible; the rest, as far as they are concerned, does not exist.
Templates with merge fields
The firm's templates carry merge fields filled from the client and matter records: name, NIE, address, cadastral reference, amounts, dates.
Producing the document stops being an exercise in copy and paste, which is exactly where the errors creep in that later have to be corrected in front of a notary.
Electronic signature
Documents are sent for signature from the matter. The client signs in their browser, with nothing to install. The signed document returns to the matter, and the timeline records who signed, from where, and when.
It is electronic signature with an audit trail, and that is how we describe it. For acts that require a qualified signature, the firm carries on using the certificate and the provider it already has.
AI extraction
Upload a passport and Mandato reads the number, the nationality, the date of birth and the expiry date, and writes them onto the client record. Upload a deed and it extracts the parties, the property, the cadastral reference and the price.
What it extracts is shown next to the document so that a person confirms it before it is committed. The AI saves the typing. It does not save the checking, and it should not.
Import from Google Drive
If the firm's archive lives in Google Drive today, import it: connect the account, choose the folders, and the documents arrive in Mandato filed by client and by matter.
It is an import, not a two-way sync. A document that enters Mandato does not go back to Drive and is not mirrored there. The reason is deliberate: two live copies of the same document in two systems is the most common way to end up signing an old version.

Does Mandato sync with Google Drive?
Mandato imports from Drive. You connect the account, choose the folders, and the documents come into Mandato. There is no two-way sync and no continuous mirror: from that point the document lives in Mandato. That is a design decision rather than an unfinished feature — keeping two live copies of the same file in two systems is the most common way to sign an old version.
Which documents can the AI extraction read?
Identity documents — passport, DNI, NIE — public deeds, notas simples, and the contracts firms handle most often. From each it extracts the fields you will need on the client or matter record. Extraction is always shown for human confirmation before it is saved.
Where are documents stored?
On servers in the European Union, encrypted at rest, with total isolation between firms. Every access and every download is written to the immutable audit log, with its author and its date.
